Description Position Title: Concept & Project Coordinator
Results Statement: The goal of this position is to provide comprehensive administrative support to the project team, ensuring efficient operations, excellent customer service, and effective communication while contributing to the overall success and growth of the company. This includes supporting the project team in managing concept and schematic design projects, attending weekly strategy meetings, maintaining the project tracker tool, and collaborating with clients and partners throughout the design process.
Responsibilities Strategic •Support sales team in tracking project contacts into CRM.
•Attend weekly "Game Plan" meetings to help prioritize strategy for new projects and deadlines.
•Help maintain "Project Tracker" tool for progress of projects and status.
•Compile weekly reports from Project Tracker tool to share with larger clients to report on status of projects.
•Conduct peer review of company projects and provide feedback/input using Bluebeam sessions on completeness and accuracy of project details.
Tactical •Support sales team in identifying project scope using Miro and prepare for project calls.
•Assemble decks and packages of design to be shared with clients.
•Submit follow-up questions or data collection points using Typeform platform (training provided).
•Manage and delegate production of Concept Design and Schematic Design.
•Work with Clients, Architects, General Contractors, Dealers, Fabricators and Manufacturers, collaborating on any questions as they arise during design process.
•Conduct "hand-off" meetings with Project Managers to recap project history and turn over project after full approval of project is received, - typically after SE/SD.
•Work with dealers to develop budgets and bids, and develop bid reports for clients.
•Delegate work to production staff and manage deadlines for tasks.
•Contribute to enhancement and completeness of process and workflows for all of the above helping in eliminating any gaps and adding clarification.
Standards: Position Specific •Ensure timely and accurate filing of all project documents and records.
•Be proficient in Office 365 and internal software and project management solutions, including Microsoft Teams, ActiveCollab, and Bitrix CRM (training provided).
Company Wide •Participate in SCOPOS daily stand-up meetings where we discuss schedules and top priorities.
•All work will be performed according to SCOPOS standards in the spirit of the company vision.
•Client and team phone calls will be returned within 3 hours whenever possible and within one business day at the latest.
•All process information and documents will be held strictly confidential outside the company.
•Company dress code of business casual for all prospects and client interaction and nice casual for all other times you represent SCOPOS.
•Provide excellent customer service.

Qualifications •Food Service experience preferred.
•Project Management OR Project Coordination experience required.
•Design OR Architectural experience required.
•experience with BlueBeam preferred.
•Ability to read a blueprint preferred.
•Ability to work in a fast-paced environment required.
•Ability to communicate effectively verbally and in writing required.
•Organization and Time Management skills required.
